Your Privacy Matters

Recall Aid is operated by Memory AI LLC, 1521 Locust St, 4th Fl #224, Philadelphia, PA 19102, United States. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our memory preservation application, accessible from https://app.recallaid.com.

We serve elderly individuals, their caregivers, and families. We understand that the memories you share with us are deeply personal. We are committed to protecting your privacy with the highest standard of care. Please read this policy carefully.

Beta Program Notice

Recall Aid is currently in beta. During the beta period, you should be aware of the following:

  • This is a pre-release version of Recall Aid. Features, functionality, and data handling processes may change as we refine the service.
  • We may experience periods of limited availability, service interruptions, or unexpected behavior. We will make reasonable efforts to notify you of planned maintenance.
  • While we apply the same security standards during beta as we will at general availability, beta software carries inherent risks. We strongly recommend keeping personal backup copies of any memories or content that is important to you.
  • Your data collected during beta will carry over to the general release if you remain an active user. If you choose not to continue after beta, your data will be deleted in accordance with our standard retention policy described below.
  • During beta, we may collect additional usage information — specifically, interaction logs, feature-usage frequency, and error reports — to identify bugs and improve the service. This data is de-identified (stripped of direct identifiers) and retained for up to 24 months, consistent with our standard analytics retention. If you leave the beta, this de-identified data is retained but cannot be linked back to you. Your rights under the California Residents section below, including the right to limit use of sensitive personal information, apply equally during the beta period.
  • During beta, your voice recordings and memory content are processed by Microsoft Azure OpenAI under the same terms described in the AI Service Providers section below.

What We Collect

We collect the following categories of information to provide and improve our service:

  • Account information: your email address and display name, collected during registration
  • Voice recordings: audio captured during memory sessions to create transcripts and narratives
  • Text transcripts: written records of your memories derived from voice recordings or entered manually
  • Photos: images you choose to upload or that are generated by our AI as part of your Memoflections
  • Preferences: your settings such as voice choice, text size, and other application preferences
  • Usage data: information about how you interact with the app, including features used, session duration, and navigation patterns
  • Billing records: transaction history required for subscription management and tax compliance
  • Cookies and similar technologies: small data files used to maintain your session and improve your experience

How We Use Your Data

Your data is used solely to provide, maintain, and improve the Recall Aid service:

  • Create and store your Memoflections, including narratives, images, and audio
  • Generate AI-assisted narratives based on your memories and conversations
  • Generate AI-created images to accompany your stories
  • Provide text-to-speech narration of your Memoflections
  • Improve service quality, performance, and user experience through analytics
  • Communicate with you about your account, updates, and support requests
  • Comply with legal obligations and maintain billing records

We never sell your personal data to third parties. We do not share your information with third parties for advertising or marketing purposes. Your memories belong to you.

What We Will Never Do With Your Memories

We make these commitments to you directly and without qualification:

  • We will never sell your memories, voice recordings, or personal data to any third party.
  • We will never use your memories for advertising, or allow any advertiser to target you based on the content of your memories.
  • We will never share your Memoflections with family members or caregivers without your permission.
  • We will never use your memories to train general AI models — not now, not in the future — without your explicit, separately-obtained written consent.
  • We will never share your biometric data (including voiceprints) with any party other than our AI processing sub-processors, and only for the purpose of generating your content as described in this policy.

Caregiver Access

If a caregiver, family member, or authorized representative (Caregiver) sets up or manages a Recall Aid account on behalf of another person (the Memory Subject), both the Caregiver and Memory Subject may have access to memories, recordings, and Memoflections stored in that account.

Caregivers should ensure that the Memory Subject is aware of and comfortable with how their personal memories will be stored and used. We treat the Memory Subject’s privacy and dignity as paramount, regardless of who manages the account.

A Memory Subject may contact us directly at support@recallaid.com to request access to, correction of, or deletion of their memories, independent of the Caregiver account holder.

AI Service Providers

Recall Aid uses Microsoft Azure OpenAI Service to power its core AI features. Here is exactly what is shared with this service and how it is handled:

  • Your voice audio is transmitted to Azure OpenAI for transcription during Live Voice and push-to-talk sessions. Audio is processed in real-time and not retained by Microsoft beyond what is necessary for that processing, pursuant to our data processing agreement.
  • Text transcripts and narrative prompts are transmitted to Azure OpenAI to generate your Memoflection narratives.
  • Microsoft Azure OpenAI does not use your personal content to train general AI models. We have a contractual commitment to this effect.
  • All data transmitted to Azure OpenAI is encrypted in transit using TLS 1.2 or higher.
  • Azure OpenAI is covered by Microsoft’s enterprise-grade security certifications, including SOC 2 Type II and ISO 27001.

We are not affiliated with Microsoft. Use of the Azure OpenAI service is governed by Microsoft’s applicable terms of service and data processing agreements. We are not responsible for Microsoft’s independent data practices.

Tracking Technologies

Recall Aid uses cookies and similar tracking technologies to enhance your experience. The types of cookies we use include:

  • Essential cookies: required for the application to function properly, including authentication and session management
  • Functionality cookies: remember your preferences such as voice choice, text size, and other settings
  • Analytics cookies: help us understand how users interact with the application so we can improve the experience

We use PostHog for analytics to understand usage patterns and improve our service. Analytics data is aggregated and does not include the content of your memories.

Data Retention

We retain your data only as long as necessary. Here is exactly what happens when and why:

  • Account and memory data: When you delete your account, your memories, voice recordings, and Memoflections are permanently deleted from our production systems within 7 days. Encrypted backups may retain copies for up to 60 additional days, after which they are automatically purged. There is no recovery period after deletion — please download your data before deleting your account.
  • Billing records: Transaction history is retained for 7 years as required by applicable tax and accounting laws. This information does not include the content of your memories.
  • Support correspondence: Retained for up to 24 months after resolution.
  • Usage and analytics data: Retained in anonymized form for up to 24 months.
  • Legal holds: If your data becomes subject to a legal hold, court order, or government investigation, we will retain the relevant data for as long as required by law, regardless of the timelines above.

Data Security

We implement robust security measures to protect your information:

  • All data is encrypted in transit using TLS and at rest using industry-standard encryption
  • We use secure cloud infrastructure with enterprise-grade security certifications
  • Access to your data is strictly controlled through role-based access controls and authentication
  • Regular security audits and vulnerability assessments are performed to identify and address potential risks

While we strive to protect your personal information, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security but are committed to implementing industry best practices.

HIPAA and Health Information

Memory AI LLC is not a HIPAA-covered entity (we are not a healthcare provider, health plan, or healthcare clearinghouse). Recall Aid is a memory preservation tool, not a medical device, and memory recordings are personal narratives — not medical records.

However, we recognize that the memories you share may touch on health-related topics. We voluntarily apply security standards that meet or exceed HIPAA technical safeguards, including encryption of data in transit and at rest, role-based access controls, regular security audits, and strict access logging. For more information about how we protect health-related content, please see our Medical Disclaimer in our Terms of Service.

European Privacy Rights (GDPR)

If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, you have additional rights under the General Data Protection Regulation (GDPR). Our legal basis for processing your personal data depends on the type of data and the context:

  • Consent: When you sign up for our waitlist or create an account, you provide explicit consent for us to process your data as described in this policy.
  • Contract: Processing necessary to provide the Recall Aid service to you.
  • Legitimate Interest: Processing necessary for our legitimate business interests, such as improving our services, provided these interests do not override your rights.

Under GDPR, you also have the right to lodge a complaint with your local data protection supervisory authority. Memory AI LLC does not currently have a Data Protection Officer (DPO) but you may contact us at support@recallaid.com for any privacy-related inquiries.

Data Breach Notification

In the unlikely event of a data breach that affects your personal information, we will notify you via the email address associated with your account within 72 hours of becoming aware of the breach. Our notification will include a description of the breach, the types of data involved, the steps we are taking to address it, and recommended actions you can take to protect yourself.

Your Rights

You have the following rights regarding your personal data:

  • Access: request a copy of the personal data we hold about you
  • Deletion: request deletion of your account and all associated personal data
  • Export: download your memories and data in a portable format
  • Correction: request correction of inaccurate personal information we hold about you
  • Opt-out: opt out of non-essential data collection, including analytics cookies

To exercise any of these rights, please contact us at support@recallaid.com. We will respond to your request within 30 days.

California Residents (CCPA/CPRA)

California residents have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

  • Right to Know: Request disclosure of the categories and specific pieces of personal information we have collected about you in the past 12 months.
  • Right to Delete: Request deletion of your personal information, subject to certain exceptions required by law.
  • Right to Correct: Request correction of inaccurate personal information.
  • Right to Opt Out of Sale or Sharing: We do not sell or share your personal information with third parties for advertising purposes. If this practice ever changes, we will notify you in advance and provide a clear opt-out.
  • Right to Limit Use of Sensitive Personal Information: Your voice recordings and memory content constitute Sensitive Personal Information (SPI) under the CPRA. We use SPI only to provide the Recall Aid service and for no other purpose. You may request that we limit our use of your SPI at any time.
  • Right to Non-Discrimination: Exercising any of your privacy rights will not result in denial of service, different pricing, or lower quality of service.
  • Right to Opt Out of Automated Decision-Making: If we ever use automated profiling in a way that produces legal or similarly significant effects, you will have the right to opt out.
  • Right to Use an Authorized Agent: You may designate an authorized agent to submit privacy requests on your behalf. We may require written proof of authorization.

To exercise any California privacy right, contact us at support@recallaid.com. We will respond within 45 days. Our look-back period for Right to Know requests covers the 12 months preceding your request.

Children’s Privacy

Recall Aid is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected personal data from a person under 18 without parental consent, we will take steps to remove that information promptly.

If you believe that a person under 18 has provided us with personal information, please contact us at support@recallaid.com so we can take appropriate action.

International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence, including the United States. These countries may have data protection laws that differ from the laws of your jurisdiction.

When we transfer your data internationally, we implement appropriate safeguards to ensure your information remains protected in accordance with this Privacy Policy and applicable data protection regulations.

Third-Party Links

Recall Aid may contain links to third-party websites or services that are not operated by Memory AI LLC. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

We strongly encourage you to review the privacy policy of every site you visit. We are not responsible for any information you provide to third-party websites accessed through links in our application.

Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and/or by posting a prominent notice within the application, and we will update the “Last updated” date at the top of this page. We will give you at least 30 days’ notice before material changes take effect.

We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information. Your continued use of Recall Aid after changes to this policy constitutes your acceptance of the updated terms.
